How to write a short, honest refund policy that customers understand before buying, covering eligibility, timelines, methods and exceptions.
The short answer
A good refund policy is short enough to read at checkout and answers four questions: what can be refunded and when, how to request a refund, how the refund will be paid, and roughly how long it takes. Write it in plain language, link it near the Pay button, and apply it consistently.
Why it matters before purchase
Customers who know the rules are less likely to dispute a payment and more likely to buy. Vague policies, or policies hidden in long terms, lead to arguments and complaints to payment providers.
The four sections
Eligibility
Which products or services can be returned or refunded, and within what time. Note exceptions such as custom-made items, perishable food or opened digital content.
How to request
Where to send the request, what information to include (order number, reason, photos for damage) and how quickly you respond.
How you refund
Usually to the original payment method. Mention when store credit or exchanges are offered instead, and when partial refunds apply.
Timing
When you process approved refunds, and that the provider or bank may take additional time to show it. Avoid exact promises about when money will appear in the customer's account unless your provider guarantees it.
Language tips
- Use short sentences and examples.
- Avoid legal jargon unless needed.
- Be honest about restrictions; hidden conditions create disputes.
- Do not promise "instant refunds" unless you truly provide them.
Make it consistent
Your website, receipts, staff answers and order messages should all say the same thing. Train staff on exceptions and who can approve them.
Record keeping
Record each refund against the original order with reason, amount, approver and date. See refunds and reversals and avoiding double reimbursement.
Example policy summary
"You can return unworn items within 7 days of delivery. Message us with your order number and photos. Approved refunds go back to your original payment method within 3 working days of receiving the item; your provider may take extra time to show it. Custom orders cannot be returned unless faulty."
Training staff on the policy
Give support staff short scripts for the most common requests, such as wrong size, damaged item and change of mind, so answers are consistent. List which requests they can approve and which go to a manager. Review a sample of refund cases each month to see whether the policy is being applied fairly and whether the wording needs to change.
Frequently asked questions
Can I refuse all refunds?
You may limit refunds, but customer rights and provider rules may still apply. Take advice if unsure.
Should delivery fees be refunded?
Decide and state it clearly; many stores refund delivery when the item was faulty.
