How hotels and guesthouses can take booking deposits, apply clear cancellation windows, and reconcile deposits against stays, refunds and no-shows.

The short answer

Hotel deposits stay manageable when each deposit is tied to a reservation number, the cancellation window is stated in the booking confirmation, and the front desk and accounts use the same three outcomes: applied to the stay, refunded, or retained under the policy. Reconcile deposits weekly, not only at month end.

Deposit policies guests understand

State clearly:

  • Deposit amount (fixed, first night, or a percentage).
  • Free cancellation deadline, as a date and time in the hotel's time zone.
  • What happens after the deadline and for no-shows.
  • Whether the deposit can move to new dates.

Show the same text on the booking page, payment page and confirmation.

Recording deposits

Each reservation, for example RS-7781, should have one or more payment lines. When the guest checks out, the deposit is applied to the final bill. If cancelled in time, a refund line is added. If retained, add a line with the reason and the policy reference.

The weekly reconciliation

  1. List all deposits received in the provider report.
  2. Match each to a reservation number.
  3. For past stay dates, confirm each deposit is applied, refunded or retained.
  4. Investigate deposits with no matching reservation and reservations showing payment that is not in the report.

This catches mistakes such as a front desk refunding cash for a deposit paid online.

Front desk habits

  • Never mark a reservation as "deposit paid" without seeing the payment record.
  • Refund through the original method where possible.
  • Note every exception, such as a goodwill refund after the deadline, with a manager's approval.

Channel bookings

Bookings from travel platforms may be prepaid to the platform, not to you. Mark the source on each reservation so staff do not ask guests to pay twice.

Scenario

A 30-room guesthouse finds that several deposits each month appear as "unmatched" because staff create new reservations when guests change dates. It adds a rule: modify the existing reservation instead of creating a new one. Unmatched deposits almost disappear.

Group and long-stay bookings

Group reservations and long stays often involve larger deposits, staged payments and partial cancellations when some rooms are released. Record each room or stage as its own line under the main reservation, so a partial cancellation refunds the right amount and the remaining deposit is still visible. Confirm the final room count and balance with the organiser in writing a few days before arrival.

Refund approvals

Decide who can approve refunds after the cancellation deadline, and keep that list short. Every exception should name the approver.

Frequently asked questions

Can I keep a deposit if a guest cancels for an emergency?

If your policy allows it, yes, but many hotels choose flexibility for goodwill. Whatever you do, record the decision.

How quickly should refunds be made?

Promptly, and tell the guest how long their provider usually takes to show the refund.
