How businesses with several branches can separate collections per location, assign responsibility for daily close and keep head office reporting accurate.

The short answer

With several locations, give each branch an identifiable collection channel, such as a separate QR code, terminal or merchant sub-account where your provider supports it, and make one named person at each branch responsible for the daily close. Head office then combines branch reports instead of untangling one mixed account.

Why mixing collections causes problems

If every branch uses the same QR code or account, head office cannot tell which branch took which payment. Shortfalls cannot be traced, and branch performance is unclear.

Options for separation

  • Separate QR codes or terminals per branch, all under the main merchant account, with a branch label.
  • Sub-accounts or store IDs if the provider supports them.
  • At minimum, a branch code in every payment reference.

Ask your provider which of these it supports and how reports show them.

Branch responsibilities

Each branch should have:

  • A manager responsible for the daily close.
  • A clear rule for confirming payments before handing over goods.
  • A procedure for refunds and who approves them.
  • A deadline for sending the daily close to head office.

Head office responsibilities

  • Combine branch reports and compare with the provider's consolidated report.
  • Follow up on unresolved differences within a set time.
  • Manage access: who can see which branch's data.
  • Review patterns, such as frequent refunds at one location.

Access control

Branch staff should see their own branch's payments, not others'. Head office finance can see all. See staff roles and least privilege.

Opening a new branch

Before opening, create the branch channel, test a payment and a refund, train staff on the daily close and add the branch to head office reporting.

Scenario

A pharmacy chain with five branches uses one QR code. A monthly shortfall cannot be traced. After issuing a labelled QR per branch, head office finds that one branch has been processing refunds without recording them. The issue is fixed with training and approvals.

Cash and digital together

Most branches handle both cash and digital payments. The daily close should cover both: cash counted and recorded, digital payments checked against the provider report and any refunds explained. Branch managers should send head office one combined daily summary rather than separate messages, so differences between cash and digital takings can be seen together.

Reporting format

Agree a simple template every branch uses, with the same column order and names. Head office can then combine reports quickly and spot unusual branch patterns.

Frequently asked questions

Can branches share one terminal?

Only if each sale is labelled with the branch; separate devices are simpler.

How often should head office review?
